A client portal, not a login
Revisions, support tickets, files and messages in one tracked place from the day the site goes live.
Service file
Every company can build you a site. The difference shows in month seven, when a hygienist has left, an office has changed its Saturday hours, and nobody remembers who is supposed to update the website. ChairsideWeb is a website design and management company: we design it, build it, host it, write for it and keep it accurate every week, on one monthly fee per group. This page sets out the questions worth asking any company you are considering, including us, and answers each one for our own offer.
What it costs
Ask who applies a change and how you request it. If the answer is a content management system login, the real answer is that your office managers do the updating, and in a group that means it stops happening within a few months. With us, nobody at your group logs in to the website. Changes are raised in your client portal, where they are tracked and visible, or sent by email from any office. Hours, closures, provider moves and insurance changes are applied weekly. Larger work is a revision, completed within 2 to 5 working days.

Ask for the list of things that are not in the price. Hosting, SSL, the domain, bandwidth and the content management license are the usual candidates, and they add up quietly. On our plans hosting is included and never billed separately, one domain is free for as long as the plan is active and registered in your name, and there is no bandwidth overage or SSL renewal. The one-time build fee is invoiced only after your site is live and you are satisfied with it. The only usage-based line is AI minutes and messages on the plans that include the AI Engine, billed at what our providers charge us.
Ask this before you sign, not afterwards. Your domain is yours and we transfer it to your registrar account on request at no charge. Within 14 days of cancellation we provide an export of your content and your articles, so nothing you paid to have written is lost. The design and the code stay ours, which is set out plainly in the terms rather than buried. Cancellation is by email, and your message must reach us at least 2 business days before your next invoice date during business hours, which are 9:00 to 17:00 Central, Monday to Friday.
A company that promises everything is telling you something. We do not give dental or medical advice, do not write clinical claims, outcome statistics or treatment recommendations, and do not build symptom checkers or patient portals. We are not a dental practice, dental group, dentist or healthcare provider. We will not quote you a ranking position or invent a traffic figure. What we will put in writing is the launch window, the speed guarantee, the revision turnaround, the local ranking window, and the fact that all sales are final except a duplicate or incorrect charge reported within 30 days.
Who it is for
Owners and operations directors choosing who to hire for the group website, and wanting to know what happens after launch.
Symptoms
Out of scope
So nobody is surprised after ordering. Each of these is a deliberate line, not an upsell waiting to happen.
We do not write treatment recommendations, success rates, outcome claims or before-and-after captions. Your clinicians own every statement about care.
Request forms ask for a name, contact details, the office, the service and a preferred time. Medical history, insurance IDs and consent forms stay in your own intake system, never on the website.
We build pages that are fast and relevant enough to be good landing pages for your ads. Running and bidding on the campaigns themselves stays with you or your ads partner.
We route requests into the system or CRM each office already uses, by API, Zapier or Make. We do not sell, host or administer the practice software itself.
We use the office and team photos you own and have consent to publish, sized for their slots. Where you have none yet we use neutral, non-clinical images until yours arrive.
There are none. One fee covers every office in the group; extra revisions beyond 5 a month are a flat $20 each.
What's in each plan
What each feature does, the everyday problem it removes, what you have to do (usually nothing), and which plan carries it.
Cost
Published prices, one fee per group, the $797 build fee after launch, month-to-month terms. See the pricing page for every line.
Timeline
Counted from the onboarding call, not from purchase. Revisions after launch are completed within 2 to 5 working days.
How the work is done
The same four steps for every service. The only thing paid before launch is the first month.
Pick a plan and pay the first month. That is the whole commitment; the $797 build fee waits until your site is live.
Thirty minutes with your operations lead: offices, providers, services, brand, where each office's requests should go, and hub or one site per location.
We design the site, write the pages, configure the finder for each office and connect each front desk. You review, we revise.
Your site goes live in 7, 10 or 15 days depending on the plan. Only then is the $797 build fee invoiced. Weekly updates start the same week.
Thirty minutes
We open a site built for a group like yours, walk the pages a patient would, and tell you which plan fits. Plans from $137 a month; the $797 build fee is invoiced after launch.
Deliverables
Revisions, support tickets, files and messages in one tracked place from the day the site goes live.
Hosting, SSL, domain and bandwidth included. No per-office fee and no hosting invoice.
Live in 7, 10 or 15 days from the onboarding call depending on the plan, with the build fee invoiced only after launch.
Weekly detail updates, 5 revisions a month of any size, and researched articles every week.
Domain transferred on request, content exported within 14 days, cancellation terms stated rather than buried.
No clinical claims, no advice, no invented statistics, no promised ranking positions.
Risk reversal
Each promise is written with its condition in plain sight, so nothing is discovered after the invoice.
The $797 one-time build fee is invoiced after launch, once you have seen the site live and are happy with it.
Condition The first monthly fee is paid up front to start the plan.
Every page we build scores at or above the target on mobile and desktop at launch.
Condition If a page drops below it because of our work, we fix it at no charge and it does not use a revision.
The site starts ranking for local searches in your area within the window.
Condition If it has not, we keep working on it at no charge. We never promise a specific position.
Built in, not bolted on
A dental website carries obligations a brochure site does not. These ship with every plan, written for your practice and reviewed by you before launch.
These pages and practices help you meet common US requirements for a dental practice website. They are not legal advice, and we recommend your own counsel reviews the policies before launch. We are not a dental practice, dental group, dentist or healthcare provider, and we are not a law firm.
A privacy policy and site terms written around what your site actually collects, drafted for your review and your counsel's sign-off. Built with state privacy laws such as the CCPA in California in mind.
Analytics and marketing tags load only after a visitor agrees, and the cookie policy lists what the consent banner controls.
Real contrast ratios, visible focus states, keyboard navigation and alt text, built with the Americans with Disabilities Act (ADA) and WCAG 2.2 AA in mind, plus a statement telling patients how to report a problem.
Request forms are designed not to collect health information. That keeps the website out of your HIPAA scope as far as a website can be, while your intake system handles records.
Where a form or the AI Engine sends texts, consent wording sits next to the phone field, and we file the A2P 10DLC carrier registration for you on plans with the AI Engine.
Service pages and articles say they are general information, not a diagnosis or treatment plan, and send patients to your providers for anything about their own care.
Reviews
People used to ring just to check their dental office selection form had actually gone through. The acknowledgment explains the next step clearly and tells people how to reach us if something is wrong. It is a small corner of the site that makes the whole process feel finished.
Got Submission acknowledgment and follow-up for dental office selection
We approved the new dental office selection form only after trying hard to break it. Labels stay put, errors explain themselves, and valid answers survive a failed attempt. It behaves the way we assumed forms behaved, until we tested the old one.
Got Form usability and error handling for dental office selection
Updating dental office selection content used to mean describing a change by phone and hoping. Now I send the current wording and its replacement, review the preview, and confirm. Far easier than narrating edits and hoping they survived the telling.
Got Content approvals and change requests for dental office selection
Case studies
No. 04Cosmetic dentistry
When it comes to dental office selection, uncertainty bred duplicates and reassurance calls. Staff reconciled repeated messages and calmed callers instead of progressing the original requests.
25 working days
No. 13General dentistry
For dental office selection, the team opened every morning to fragments: voicemails, bare emails, half-completed forms. Prioritising them required detective work before any real work.
10 working days
No. 16Periodontics
When it comes to dental office selection, whoever published an update had to interpret the request, while whoever approved it could not easily compare old and proposed wording side by side.
25 working days
ChairsideWeb works with dental groups and multi-site practices only. Sister companies cover other fields. The whole point of a niche is that we already know what an office page, a provider page and a referral intake need to carry.
As many as you have. The fee is per group, not per office, and adding an office is a revision. The plan you pick changes what runs alongside the site, which is the AI Engine and the Content Engine, not how many locations are included.
A person replies within one working day. Cancellation notice must reach us during business hours, which are 9:00 to 17:00 Central Time, Monday to Friday, excluding US public holidays.
No. All sales are final, including monthly fees, the build fee and extra revisions. The one exception is a duplicate or incorrect charge made by our billing, reported within 30 days, which we correct within 10 working days.
No. It is a monthly plan. Cancel by email with at least 2 business days notice before the next invoice date and no further invoice is raised, with the site running to the end of the month you have paid for.
We build and run the website for a published fee; agencies usually bundle ads, SEO and social into a retainer. The comparison page covers when each suits a group.
An onboarding lead for the call, then the account team through your client portal and by email. A person replies within one working day.
Clinical content, paid ad management, photography shoots and your practice management system itself. Everything else about the website is in the plan.
A live walk-through of the site you would get, in about 30 minutes. Plans from $137 a month, the $797 build fee invoiced only after launch, domain and hosting included.
Book a demoOr email and a person replies within one working day.
